By booking any of our Crop Over Concierge packages, you agree to the following terms and conditions. Please read them carefully before proceeding with your booking.
1. Booking & Payment Policy
a) A 40% deposit is required for individual bookings, and a 30% deposit is required for group bookings to confirm your reservation.
b) No services will be rendered unless the deposit is paid.
c) A valid government-issued ID (passport, driver’s license, or national ID card) must accompany every booking to verify the identity of the client.
d) The remaining balance must be paid in full no later than 14 days before arrival.
e) Payments can be made via Bank Transfer, PayPal, or Western Union.
f) Prices are listed in BBD (Barbados Dollars) and USD. Currency conversion fees (if applicable) are the responsibility of the client.
g) Fete tickets & costumes: As fete tickets and costumes become available, an invoice will be sent reflecting the ticket and costume prices. No purchase will be made on your behalf unless the invoice is paid in full before the specified deadline.
2. Cancellation & Refund Policy
a) Cancellations made 30+ days before arrival: Full refund minus a 10% administrative fee.
b) Cancellations made 15-29 days before arrival: 50% refund of the total package cost.
c) Cancellations within 14 days of arrival: No refund will be issued.
d) No refunds will be provided for missed events, late arrivals, or no-shows.
e) Payments for fete tickets and costumes are non-refundable, as they are subject to the vendors' policies.
f) Refund requests must be made in writing to info@wilsonmanagementservices.com.
3. Service Modifications & Availability
a) All bookings are subject to availability at the time of confirmation.
b) We will make every effort to accommodate changes to your package; however, modifications are not guaranteed and may be subject to additional fees.
c) Event tickets, costume purchases, and third-party services (e.g., makeup artists, transportation providers) are subject to the vendors' terms & conditions. Wilson Management Services is not liable for their cancellations or policy changes.
4. Liability & Client Responsibilities
a) Wilson Management Services acts as a facilitator for your Crop Over experience and is not responsible for personal injuries, lost items, or damages that occur during your trip.
b) Clients are responsible for their own travel insurance and should ensure coverage for any unexpected cancellations, medical emergencies, or lost items.
c) You agree to conduct yourself in a respectful manner while engaging with our staff, vendors, and service providers. Disruptive or inappropriate behavior may result in termination of services without a refund.
5. Privacy & Data Protection Policy
a) We take your privacy seriously and are committed to protecting your personal information.
b) Any personal details provided, including your government-issued ID, travel details, accommodation, and event preferences, will be kept strictly confidential and used only for the purpose of verifying your booking and delivering our services.
c) Your ID will only be stored for the duration of your booking and will be securely deleted upon completion of services, unless required for legal or accounting purposes.
d) We will never sell, share, or distribute your personal information to third parties without your consent, except when required by law.
e) Secure digital storage and encryption methods are used to protect all personal data from unauthorized access.
6. Force Majeure
We are not liable for cancellations, delays, or service disruptions due to unforeseen circumstances such as natural disasters, airline strikes, government restrictions, or extreme weather conditions. No refunds will be provided in such cases, but we will make every effort to reschedule or adjust services where possible.
7. Agreement to Terms
